Identify Your Data's Security Level

If you aren't sure of your data's security level, consult the ÃÛÌÇÖ±²¥ System's guidelines:Ìý Ìý

Choose an Approved Delivery Method

Level 1 Data (Public)
Directory-level student information may be discussed over the phone or sent by email or fax.

Level 2 & 3 Data (Confidential)
Emails sent from oneÌýcolorado.edu email address to anotherÌýare, in general, encrypted. However, because the university has no control over whether students and employees forward their email to another service provider, the campus only allows the sending of Level 1–3 dataÌýthrough campus email, including to other University of ÃÛÌÇÖ±²¥ campuses.

To facilitate communication between university officials and individual students, the Boulder campus allows the sending ofÌýthe following informationÌýfrom one colorado.edu address to another or to aÌýUniversity of ÃÛÌÇÖ±²¥Ìýaddress:

  • Student name and SID
  • Student name/SID/Level 3 data (including individual grades, butÌýnot entire rosters)

Large amounts of Level 2 or 3 student data (i.e., greater than 24 students) and data reports containing Level 2 or higher data must be sent via theÌýÌýservice or other protected means, and not via email. Sending password-protected files via email is discouraged, because the password is often also sent via email, thus removing the security.

Level 4 & 5 Data (Highly Confidential)
You may only send Level 4 and 5 data by fax or throughÌý.
