IBG Calendar

IBG uses a shared calendar for Journal Clubs, First Friday speakers, other events, and for scheduling room use.

To get edit access to the calendar, add events, or schedule rooms, please contact Jeff Lessem. Information on subscribing to the calendars is detailed below.

IBG Events

The IBG Events calendar is used for Journal Club, First Friday speakers, job candidate talks, and other important IBG wide events. The calendar can also be used to reserve rooms 210, 261, or 120 by simply scheduling an event in the room.

Subscribing to the calendars and adding them to your calendar app

There are several addresses that can be used to subscribe to the calendars. Instructions for several calendar applications are provided below. The IBG calendars are just Google calendars, so directions to add the calendars to other applications will be similar to subscribing to any Google calendar. Google calendars online

  1. Go to your
  2. Find "Other calendars" in the left side column
  3. Click the "+" to add a new calendar
  4. Select "Subscribe to calendar"
  5. On the "Add calendar" page, paste the Google ID (from above)
  6. Press "Enter"
  7. Adjust the calendar settings (notifications, etc.) as desired
  8. Return to your calendars page
  9. If you have permission to edit the calendar, it will appear under "My Calendars" if you only have permission to view, it will appear under "Other calendars"

Mac Calendar (view only)

  1. Open the Calendar application on your Mac
  2. Under "File" click "New Calendar Subscription..." or press "⌥⌘S" (option-command S)
  3. Paste the iCal/ics link (from above) for the calendar you want to add
  4. Click "Subscribe"
  5. Adjust the "Auto-Refresh" interval to something more frequent than the default "Every week", "Every hour" should be frequent enough
  6. Click "OK"

Outlook (view only)

  1. Go to the calendar section of Outlook
  2. Click on "Open Calendar" from the top ribbon
  3. Select "From Internet"
  4. Paste the iCal/ics link (from above) for the calendar you want to add
  5. Click "OK"
  6. Click "Yes"

Mac Calendar (edit)

  1. To edit an IBG calendar in Mac Calendar, you must be connected to your ÃÛÌÇÖ±²¥ Google account from your Mac
  2. Open the "System Preferences" application
  3. Open the "Internet Account" application from within System Preferences
  4. Click the "+" in the bottom left corner
  5. Click on the "Google" logo to add a Google account
  6. Enter your identikey@colorado.edu as your email address
  7. Enter your identikey password
  8. On the "Select the apps you want to use with this account:" panel, make sure "Calendars" is selected
  9. If you already have your ÃÛÌÇÖ±²¥ Google account linked to your Mac, then select it, and make sure "Calendars" is checked
  10. In the Calendar application, there should now be a section on the left panel under "identikey@colorado.edu" listing the calendars available in your Google account
  11. If you do not see the calendar you want, then follow the directions above for adding the IBG calendars to your Google account; once added they will appear in your Mac Calendar application

Outlook for Windows (edit)

Editing a Google calendar from Outlook requires installing a CalDav plugin. is a free and open source plugin for Outlook. The following list of instructions is long because each step is documented. The actual process is straightforward, and easier than the number of steps suggets.

  1. You must first subscribe to the IBG Events calendar in your ÃÛÌÇÖ±²¥ (or other) Google account
  2. Go to the page for CalDav Synchronizer
  3. Download the most recent version
  4. Open the downloaded .zip file
  5. Run the "setup" file
  6. Go through the setup, it is safe to accept the default answers for all of the questions
  7. Start, or exit and restart, Outlook
  8. There should now be a new menu item at the top called "CalDav Synchronizer"
  9. Click on "CalDav Synchronizer" to bring up the CalDav Synchronizer ribbon
  10. During the next steps, the "Synchronization Profiles" window often falls beneath the main Outlook window, to get it back, minimize (don't close) Outlook, or use the Outlook icon in the taskbar to show open Outlook windows
  11. Click on "Synchronization Profiles" to bring up the profiles windows
  12. Click the green "+" to add a new profile
  13. Select "Google" and then click "OK"
  14. Give the profile a name, such as "ÃÛÌÇÖ±²¥ Google"
  15. Click on the "..." button to the right of the "Outlook folder:" field
    1. Click the "New..." button
    2. In the dialog box that appears, select the "Calendar" folder so that it is highlighted
    3. In the "Name:" field enter "IBG Events"
    4. Change the "Folder contains:" selector to "Calendar Items"; you may have to scroll the available options
    5. Click "OK"
    6. Click "OK" again
  16. In the "Email address:" field enter your identikey in the form identikey@colorado.edu (if you subscribed to the IBG Events calendar with an alternative Google account, then for the this step and the rest of these instructions use that alternative account's email)
  17. Click on the "Do autodiscovery" button below the email address field
  18. If asked, select your web browser of choice to use
  19. You should see a Google sign in page branded with Outlook CalDav Synchronizer
  20. It should show your identikey@colorado.edu, then click "Next"
  21. Enter your identikey password, then click Next
  22. If login is successful you will probably receive an email from Google, and possibly an alert on your phone about the login
  23. You will be shown a page describing the access that Outlook CalDav Synchronizer wants
  24. To edit the IBG Google calendar, you must grant these permissions by clicking "Allow"
  25. If successful, the browser will say that the window can be closed
  26. A new "Select Resources" window will appear
  27. Click on the "IBG Events" calendar so that it is highlighted, and then click OK
  28. If everything worked, a dialog box saying "Connection test successful" will appear; it can be dismissed by clicking OK
  29. The synchronization interval can be adjusted from the default 30 minutes to a longer or shorter interval
  30. The "Detected URL" will update, then click OK at the bottom of the Synchronization Profiles window
  31. There should be a new calendar called "IBG Events", put a check on the box next to it so that it can be viewed
  32. The IBG Events calendar should automatically synchronize soon; the calendar has many entries, so Outlook may freeze for a few seconds as the calendar is first processed
